Reporting to the Finance Director the Credit Controller is responsible for the timely collection of outstanding debts, minimising credit risk.  Working closely with customers and internal stakeholders, the Credit Controller will manage customer accounts, resolve account queries, monitor credit exposure, and provide accurate reporting.

 

Responsibilities:

Credit Risk Management

  • Assess the creditworthiness of new and existing customers through financial information, credit reports, and trading history.
  • Recommend and maintain appropriate credit limits and payment terms. Refer to FD for further guidance when necessary.
  • Monitor customer payment performance and identify potential credit risks.
  • Support the Finance Director in minimising bad debt exposure and financial risk.

Credit Control & Debt Collection

  • Proactively manage customer accounts to ensure prompt payment of outstanding invoices.
  • Contact customers by telephone, email, and written correspondence to follow up on overdue accounts.
  • Negotiate payment arrangements where appropriate while maintaining positive customer relationships.
  • Escalate delinquent accounts in accordance with Company procedures.
  • Maintain accurate and up-to-date records of all collection activity.

Account Reconciliation & Cash Allocation

  • Reconcile customer accounts and investigate any discrepancies.
  • Resolve billing, payment, and account-related queries promptly and professionally.
  • Allocate incoming payments to ensure customer account balances are always maintained accurately.

Reporting & Administration

  • Prepare and distribute aged debtor reports and other credit control reports as required.
  • Highlight overdue accounts, emerging risks, and collection trends to management.
  • Provide weekly reports to the Finance Director on new customers, credit limits, and agreed credit terms.
  • Produce monthly reports detailing credit notes issued and debt recovery performance.
  • Support month-end and year-end finance processes as required.

Invoicing & Credit Note Management

  • Raise weekly invoices for sister companies, including Emerald Cargo Forwarding and Perennial Customs.
  • Manage cash-up-front transactions by issuing invoices, requesting payment, and ensuring funds are received prior to collection or delivery.
  • Raise credit notes following confirmation by Operations and approval from the Sales Manager and Finance Director.
  • Ensure all invoicing and credit note processes are completed accurately and efficiently.

 Customer & Internal Stakeholder Management

  • Build and maintain positive working relationships with customers while ensuring adherence to agreed credit terms.
  • Work closely with Operations, Sales, and Finance teams to resolve account queries and disputes.
  • Provide guidance and support to internal stakeholders on customer account matters.
  • Contribute to continuous improvement initiatives within the Finance function.

Driver payroll

  • Provide ad hoc cover when necessary with the preparation of weekly driver payroll data, maintaining accuracy and supporting payroll deadlines.

General Duties

  • Provide general administration cover to other roles within the accounts/finance team as and when required.
  • Adhere to Company policies, procedures, and financial controls.
  • Ensure compliance with all applicable regulatory and legal requirements relating to credit control activities.
  • Undertake ad hoc finance and administrative duties and any other reasonable duties commensurate with the role.

Qualifications and Skills

  • Previous experience in a Credit Control, Accounts Receivable, or Finance environment.
  • Previous experience with Sage, QuickBooks/Xero would be preferable but not essential.
  • Strong communication and interpersonal skills.
  • Excellent negotiation and problem-solving abilities.
  • High level of accuracy and attention to detail.
  • Strong organisational and time management skills.
  • Proficient in Microsoft Office applications, particularly Excel.
Performance Indicators

  • Percentage of overdue debt successfully recovered.
  • Accuracy and timeliness of cash allocation.
  • Resolution of account queries and disputes within agreed timeframes.
